How to set message rules using the SPAM tag

A great way to deal with spam as well as viruses is to use the Message Rules function in your email program to send them directly to your deleted items folder or to a specific folder for later sorting. This examples uses Outlook Express 6 however they should work for other versions of Outlook Express.

Updated December 31th,2003. These instructions are now using the text from our Spam Filters in the subject line. This applies to new matterofmail.com and scronline.com email address at this time ONLY.

Instructions: Note: Some images are thumbnails, click to see larger picture.

1. The first step is to create a new folder in your Folders List called Spam. To do this, right click on the word Local Folders in your Folders List and select New Folder. Type the folder name Spam in the space and click OK. Now you will see a new folder in your main folders list called Spam.

2. Click on Tools, Message Rules, Mail and the window below will come up:

3. The first step is to Select the conditions for the rules, click on the box next to:

Where the Subject line contains specific words

The second step is to select the action for your rule, click on the box next to:

Move to the specified folder

See the diagram below.

4. Then the next step is to click on the link in the third area for Rule Description that says "contains specific words" (see above picture). A new window will come up prompting you to type specific words or a phrase, and click Add.

The first phrase is: *****SPAM*****. Make sure it is exactly as the image shows below. Then click Add and it will appear in the window labeled Words.

5. Click OK and the New Mail Rule window will have that information in it. Now we need to set the specified folder. To do this, click on the blue link that say specified. A new window will come up, click the + sign next to Local Folders to see the list of all your folders then click on the Spam folder you created to select it. Click OK.

Set specified folder
6.Now you should see all the information set in the Message Rule window. Now name your new message rule in the bottom field to Spam Rule #1. It should look like the image below. Click OK.

7. Now you will be taken to the Message Rules main window where you can see all the rules you have and can add new rules, edit existing rules and remove rules. You can also see the Rule Description by highlighting the rule.

Now when you get an email that our spam filters have marked as possible spam, it will go directly into your Spam folder so that you can sort through them later without the clutter in your Inbox. Make sure that you empty that folder periodically.
